Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company's general administrative activities.
Administrative Assistant responsibilities include making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems.
The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment.
Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
Administrative Assistant Job Duties An Administrative Assistant is vital in how a company runs their internal tasks.
The following list includes the important responsibilities which an Administrative Assistant will be required to perform.
Order office and general supplies (i.
e.
computer ink, tissues, computer paper, etc.
) Admin.
Assistant will be required to assist our office staff, owners of the company, and executives.
Keep a detailed log of our inventory.
Manage mass internal text messages and emails.
Book travel locations including hotels, conferences, rental vehicles, etc.
Set up emails for our employees.
Assist with the completion of our internal company profiles.
Set up Professional Development Seminar meetings and Quarterly meetings.
Find, book, and organize conferences.
Keep track of the company log, recording each employee that currently has any of our electronic equipment.
Order business cards Track, manage, and set out reminders for company employee's birthdays.
Newsletter updates Flyers for key company events Take the lead on company outings (i.
e.
organizing games, orders, invites, RSVP's, etc.
) Assist with IT support.
Run NJ Biz Application Send out life event packages and inform those who need to be informed about said event.
Create planned agendas for meetings and record minutes.
In charge of sending out corporate holiday gifts Keep track and update our employee directory.
Manage Skipio, our internal texting notification center.
Shredding documents when informed.
Send out packages at the local UPS store for employees.
General light housekeeping of the office.
Skills Proven experience as an administrative assistant or office admin assistant Knowledge of office management systems and procedures Working knowledge of office equipment, like printers and fax machines Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) Excellent time management skills and the ability to prioritize work Attention to detail and problem-solving skills Excellent written and verbal communication skills Strong organizational skills with the ability to multi-task Job Type:
